Guardian Engineering & Design Hub Pty Ltd t/as Just Inspections (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use, disclose and store personal information, and how you can access, correct or complain about our handling of it.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What personal information we collect

We generally collect:

  • Your name, phone number, email address and postal address
  • The address of the property to be inspected, and details about it
  • Your relationship to the property (for example, purchaser, owner, vendor, agent, builder or legal representative)
  • Booking, scheduling and payment-related details
  • The contents of enquiries, correspondence and any documents you provide to us
  • Photographs, measurements and observations recorded during an inspection
  • Technical information collected automatically when you use our website

We do not seek to collect sensitive information as defined in the Privacy Act. If you volunteer sensitive information to us, we will only use it for the purpose for which you provided it.

3. How we collect it

We collect personal information directly from you by phone, email, our website enquiry and quote forms, or in person; from people acting on your behalf or in connection with the property, such as real estate agents, conveyancers, solicitors, property managers, builders or vendors; and from publicly available sources where relevant to an inspection.

Where it is reasonable and practicable, we collect personal information directly from you.

4. Why we collect and use it

We use personal information to provide quotes and respond to enquiries; book, schedule and carry out inspections; prepare and deliver inspection reports; arrange access to the property; invoice and process payments; maintain our records, including for insurance and dispute purposes; comply with our legal and regulatory obligations; and improve our services.

If you do not provide the information we ask for, we may not be able to carry out an inspection or provide a report.

5. Who we disclose it to

We may disclose personal information to the person or entity who engaged us and anyone they authorise in writing; the property owner, occupier or agent, to the extent needed to arrange access; our inspectors, contractors and administrative staff; our IT, hosting, email, scheduling, reporting and payment service providers; our insurers and professional advisers; and courts, tribunals (including VCAT), regulators and government bodies where required or authorised by law.

Inspection reports are prepared for the party who engaged us. We do not release a report to a third party without that party’s authority, unless we are required to do so by law.

We do not sell personal information.

Overseas disclosure

Some of our service providers may store data outside Australia. Where this occurs, we take reasonable steps to ensure the information is handled consistently with the APPs.

6. Storage and security

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These include access controls, secure hosting and staff confidentiality obligations.

No method of transmission or storage is completely secure. We cannot guarantee the security of information transmitted to us over the internet.

We retain inspection records and reports for the period required for insurance, professional and legal purposes, and destroy or de-identify personal information when it is no longer needed and we are no longer required to keep it.

7. Direct marketing

If we send you marketing communications, you can opt out at any time by using the unsubscribe link in the message or by contacting us using the details below. We will action opt-out requests within a reasonable period.

8. Our website

Our website may use cookies and similar technologies to operate the site, remember your preferences and understand how the site is used. This may include analytics services provided by third parties.

A request to access your personal information is not a request to amend the findings of an inspection report. Concerns about the content of a report should be raised with us directly.

10. Complaints

If you believe we have breached the Australian Privacy Principles, please contact us using the details below, setting out your complaint in writing with enough detail for us to investigate.

We will acknowledge your complaint and aim to respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

11. Changes to this policy

We may update this policy from time to time. The current version is the one published on our website, and the “last updated” date shows when it was last changed.
